Data handling and allowed usage

This page provides general guidance on how data must be handled and used on the platform.

All data processing activities must comply with applicable legal requirements, institutional policies, and the conditions defined during project approval.

Why proper data handling matters

Different types of data require different levels of protection.

Correct data handling ensures:

  • Protection of individuals and sensitive information
  • Compliance with legal and ethical requirements
  • Proper use of the platform resources
  • Reduction of security and data breach risks

Improper use of data may result in unauthorized processing and potential policy violations.

Your responsibility as a researcher

As a user of the platform, you are responsible for:

  • Ensuring that your data usage is covered by an approved research project
  • Using data only within the scope of the approved project
  • Following all applicable legal, ethical, and institutional requirements
  • Requesting clarification when in doubt

If you are unsure whether your data can be processed on the platform, do not proceed until you receive guidance.

Authorization and allowed usage

The use of data on the platform is subject to prior authorization.

Users must ensure that:

  • The project has been formally approved
  • All required agreements (e.g. DTA) are in place where applicable
  • Data processing activities are consistent with the approved project scope

Only authorized users may access and process data within a project.

Storage and access rules

Data must be stored and accessed according to project authorization:

  • Use only approved storage services and locations
  • Access is limited to authorized project members
  • Do not attempt to access data belonging to other projects

Data must not be stored or processed outside approved environments.

Data sharing

Data sharing is allowed only within the scope of an approved project.

Users must:

  • Share data only with authorized project members
  • Ensure that recipients are properly authorized
  • Avoid unauthorized duplication or redistribution

Data must be used and shared in accordance with project approvals and applicable legal and institutional requirements.

Data processing practices

When processing data:

  • Use only approved services and workflows
  • Avoid unnecessary duplication of data
  • Remove temporary data when no longer needed

Data retention and lifecycle

Data must be managed in accordance with project requirements and applicable policies.

  • The HPC service is intended for data processing and does not provide long-term or guaranteed data storage
  • Users are responsible for ensuring appropriate backup and long-term preservation of their data and results
  • Data and outputs stored on the platform are available only for the duration of the authorized project
  • At the end of the authorization period, access may be revoked and data may be removed without further notice

For long-term storage and data preservation, users should rely on appropriate storage solutions.

Requests for extension of access or storage duration must be submitted before the expiration of the authorization period.

What to do in case of doubt

If you are unsure about:

  • Whether data can be processed
  • Where data should be stored
  • Whether data can be shared

Stop and contact support before proceeding.

  • Security principles for researchers
  • Access request and project approval
  • Identity and authentication

Final reminder

Proper data handling protects:

  • Research participants
  • Your project and collaborators
  • The institution and infrastructure

When in doubt, ask before acting.
